Workboard shortcuts your team should know

The Workboard is fast on day one and faster after a few setting tweaks. Here are the patterns mature shops use.

Make "my cards only" the default for mechanics

Most mechanics only care about their own cards. Two combined settings achieve that:

  1. Permission: Workboard view + edit only (no manage). See Invite your team and set the right permissions.
  2. Workboard top-right filter → Assigned to me. The mechanic sets it once; it persists per browser.

Now their workboard is just their queue — no scanning past 40 cards to find theirs.

Bulk-move at end of day

Shift-click (or tick) multiple cards → bulk-action bar appears at the top. Move them to Ready in one go instead of dragging one at a time.

Custom-field columns

If you've added custom fields with Show on card, they appear as chips on every card. The 2–3 fields mechanics glance at most often (preferred brand, warranty?, fleet code) belong here. Save 10 clicks a day per mechanic.

Unread message badge

Cards with an unread customer message show a red badge. Filter by Has unread messages top-right when you want to clear all customer chats in one sweep at end of day.

Top of the workboard. Searches: vehicle registration, customer name, customer phone, services. Useful when a customer calls and asks about that car you're working on — search the plate, find it in 2 seconds.

Grid vs list view

Switch top-right. Grid = kanban (columns). List = single table sortable by amount, mileage, due date. List is faster for "show me everything overdue" queries; grid is better for the live shop floor.

Tag chips: tag busy days/jobs with chips like RUSH, VIP, WARRANTY. Filter by tag to see those cards only. Tags are free-text — define a small vocabulary and stick to it.
