Create and edit an appointment

Appointments are bookings on your calendar. They auto-create a workboard card when the day arrives — so the same job flows from "next Tuesday at 10" to "in bay 3 right now" without re-typing.

Creating one

Appointments → Create appointment. The form, in order:

  1. Date — calendar picker. Past dates are blocked.
  2. Time slot — 30-minute increments between your shop's open and close hours (Settings → General → Working hours). Already-booked slots show grey.
  3. Customer — fuzzy search; new customers can be created inline.
  4. Vehicle — picked from the customer's fleet. New vehicle? Add it inline.
  5. Services — pick from templates, or free-type.
  6. Mechanic — assign one or more. If you have 20+ staff, the picker becomes searchable.
  7. Pickup & drop-off — toggle on; enter pickup address. Drives the customer-facing live-tracking link (see Live tracking).
  8. Reminder notification — toggle a customer reminder before the appointment. Choose 30 minutes, 1 hour, or 1 day before.
  9. Notes — internal; visible to mechanics.

Editing or rescheduling

Click the appointment from the calendar or list → Edit. Changes to date/time send the customer a fresh confirmation email automatically.

Cancelling

Status drop-down → Cancelled. The customer is notified by email; the slot frees up.

No-shows: mark No-show instead of cancelling. The slot frees up but the record stays for reporting — useful for spotting customers with a pattern.
